Task Management
Friendly, practical walkthroughs to get you doing real work fast.
- Install and open the app on your device.
- When prompted, allow notifications if you want reminders. (You can change this later in your device settings.)
- On first launch you’ll land on the Today view or the main dashboard. Take a quick look around: bottom navigation shows Today, All Tasks, Categories, and Search.
- Tap the + (Add) button or the floating action button on any list screen.
- In the Title field enter a short, clear name (e.g., “Prepare client report”).
- (Optional) Add a Description with details or steps.
- Choose a Category (or leave blank). Categories help group related tasks.
- Set a Due date by tapping the calendar control and choosing a date.
- Select Priority (High / Medium / Low).
- Tap Save to create the task. You’ll return to the list and see the new item.
Break big tasks into small steps.
- Open a task by tapping it in All Tasks, Today, or a Category.
- In the Task Details screen tap Add subtask (or a + under Subtasks).
- Enter the subtask title (e.g., “Gather last month’s numbers”) and set its priority. Tap Save.
- To change a subtask’s state, tap its checkbox to switch between To-do → In progress → Done.
- Completed subtasks move to the Completed section automatically.
- Tap Today in the bottom navigation.
- The list shows tasks scheduled for the current date.
- Use it each morning to see what to prioritize — tap checkboxes to mark items done as you complete them.
- Tap any item for full details or to add subtasks on the fly.
- Tap Search (magnifier icon).
- Type keywords from a task title, description, subtask, or category.
- Results appear as you type. Tap a result to open the task.
Q: I accidentally deleted a task — can I recover it?
A: Deletion requires confirmation and is permanent in the app. If you have device-level backups, try restoring from there.
Q: I changed a due date but the task still shows in Today.
A: Refresh the list by navigating away and back. If the date was changed to today intentionally, it will remain.
Long Term
Goal Management
Track higher-level outcomes like "Run 100km" or "Ship Project".
Quick overview: Goals are higher-level outcomes (e.g., “Run 100 km”, “Ship Q2 report”). Each goal is tracked by numeric progress or milestones. You can link daily tasks to milestones to drive progress.
- From the main Goals screen tap New Goal.
- Select Goal Type: numeric (amounts), habit, or progress/step.
- Fill in the Title (e.g., “Finish Thesis”).
- (Optional) Add a Description for motivation.
- Enter a Target value if numeric.
- Tap Save.
Milestones are the concrete steps to achieve a goal.
- Open the goal from the Goals list.
- Tap Add Milestone. Enter title and notes.
- Continue adding milestones for logical steps (e.g., "Outline", "Draft", "Review").
Recommended Workflow
- For each milestone, create tasks in the Task area that describe the actual work.
- In the task Title, include the goal name (e.g., "(Goal: Thesis) — Write chapter 1").
- Mark milestones as Done when their tasks are complete.
- Journey Timeline: Open timeline view to see milestones chronologically.
- Goal Report: View numeric history and completion percentage.
- Milestone Report: Shows a progress circle and counts (Total / Done / Left).
Consistency
Habit Tracker
Build streaks with simple daily check-ins.
- Open My Habits: Shows a scrollable list of your habits.
- Filter: Use chips ("All", "Daily", "Weekly") to narrow the list.
- Create: Tap the New Habit button at the bottom.
- Tap New Habit.
- Type the Name (Required, e.g., "Morning Walk").
- Tap the Frequency chip to choose Daily, Weekly, or Monthly.
- (Optional) Enter a description or "Why".
- Tap Save.
How to log
Open a habit. Tap the large central circle. It changes to a check icon and says "Completed Today!" when done.
Stats: Review "Total Days" and "Frequency" at the top of the detail screen.
From the habit detail screen, open View Stats & Calendar.
Habit Calendar
A grid showing the last ~30 days. Green cells are completed days; grey are missed.
History List
A chronological list of log entries. Tap the trash icon next to an entry to delete accidental logs.
Notes
Distraction-free writing with robust organization.
Notes are organized into All Notes, Collections (folders), and individual notes.
- Open Notes: Tap Notes from the app home.
- Collections: Tap a collection to see only notes inside that folder.
- Tap the blue + New button (bottom right).
- Enter Title and Body in the editor.
- Choose a Folder (optional) via the folder picker.
- Tap Save (or back). Note: Blank notes are discarded.
Pin
Toggle pin in editor to keep notes at the top.
Archive
Swipe right on a note in the list.
Delete
Swipe left on a note (Permanent).
Calendar
Unified timeline for Tasks and Events.
- Open Calendar: Shows a month grid with days highlighted if they contain items.
- Daily View: Tap a day to see tasks, events, goals, habits, and notes scheduled for that day.
- Smart Date Picker: A "Jump to Date" bottom sheet helps you quickly return to "Today" or pick a distant date.
Events are fixed time blocks (e.g., meetings) distinct from Tasks.
- Tap Create (or tap a day then Add).
- Fill Title (Required), Description, Start/End times.
- Toggle All-day if needed.
- Tap Save.
- Conflict Check: Check Calendar to avoid scheduling conflicts between events and high-priority tasks.
- Navigation: Use month arrows to move between months.
- Deleting: Open an event and tap Delete to remove it.
Settings
Configuration, Account, and Security.
Account
- Edit Profile: Update display name and email.
- Profile Photo: Upload a new picture.
- Sign Out: Scroll to bottom to sign out.
Security
- Passcode: Enable 4/6-digit lock.
- Biometrics: Use Fingerprint/Face ID for fast access.
- Auto-lock: Set timer (e.g., 1 min inactivity).
Backup & Sync
- Enable Sync: Sign in to sync across devices.
- Frequency: Set Manual, Daily, or Weekly.
- Restore: Recover data from previous backups (Warning: overwrites local data).
Appearance
- Theme: Light, Dark, or System Default.
- Accent: Pick a primary color if available.
- Compact Mode: Toggle for denser layouts.
Troubleshooting Common Issues
- No Reminders? Check device Notification permissions.
- Biometrics failing? Ensure device-level security is set up.
- Sync failed? Check network and cloud storage space.

Flow Progress (“Flow Progress”, “the App”, “we”, “our”, or “us”) is a productivity and personal organization application that helps users manage tasks, goals, habits, notes, calendars, and progress reports.
We value your privacy and are committed to protecting your personal data. This Privacy Policy explains what information we collect, how we use it, how it is stored, and the choices you have when using the Flow Progress app.
By installing or using the app, you agree to the practices described in this Privacy Policy.
1. Information We Collect
Flow Progress is designed with a privacy-first approach. We collect only the information necessary to deliver core app functionality.
1.1 Information You Provide Directly
When you use Flow Progress, you may voluntarily create and store the following information:
- Tasks & Subtasks: Titles, descriptions, priorities, due dates, categories, completion status.
- Goals & Milestones: Goal titles, descriptions, numeric targets, milestone names, progress updates.
- Habits: Habit titles, frequencies, check-ins, logs, and completion history.
- Notes: Note titles, note content, folders/collections, pinned or archived states.
- Calendar Items: Events, dates, times, descriptions, and scheduling metadata.
- Settings & Preferences: Notification preferences, appearance choices, security options.
- Account Information: Display name and email address (if enabled).
This information is entered only by you and is used exclusively to power the app’s features.
1.2 Information Collected Automatically
To improve reliability and performance, the app may collect limited technical data such as:
- Device type and operating system version.
- App version number.
- Crash reports and error logs.
- Basic performance diagnostics.
This data does not include your task, note, or habit content, is not used to identify you personally, and is used only to improve app stability and user experience.
1.3 Notifications & Reminders
If you allow notifications, the app uses task due dates, habit schedules, or calendar times to trigger reminders locally or via system services. You can revoke permissions anytime.
2. How We Use Your Information
Your information is used strictly to operate and improve Flow Progress, including:
- Creating, displaying, and managing tasks, goals, habits, notes, and events.
- Showing Today views, calendars, timelines, and reports.
- Calculating progress percentages, statistics, and summaries.
- Delivering reminders and notifications (if enabled).
- Fixing bugs and improving app performance.
We do not use your data for advertising, profiling, or automated decision-making.
3. Data Storage & Security
3.1 Local Data Storage
By default, all data is stored locally on your device. Uninstalling the app removes locally stored data. Deleted items are permanently removed unless restored from a backup.
3.2 Backup & Sync (Optional)
If you enable backup or sync, data may be stored securely with the selected cloud service. Sync is optional and user-controlled.
⚠️ Note: Restoring a backup may overwrite current local data.
3.3 Security Measures
We support passcode protection, biometrics, and device-level encryption where supported.
4. Data Sharing & Disclosure
We respect your data ownership.
We do NOT:
- Sell, rent, or trade your personal data.
- Share your content with advertisers.
- Read, analyze, or monitor your tasks/notes.
- Track activity across other apps.
Limited sharing only when:
- Required by law or legal process.
- Necessary to protect safety/rights of users.
5. Data Retention & Deletion
You remain in full control. You can edit/delete tasks, clear history, disable backups, or delete your account at any time.
Once data is deleted, it cannot be recovered unless you restore it from a backup you previously created.
6. Children’s Privacy
Flow Progress is not intended for children under 13. We do not knowingly collect personal data from children.
7. Third-Party Services
We may interact with cloud backup providers or system services (notifications/calendar). These operate under their own privacy policies.
8. Your Rights & Updates
You have rights to access, correct, or delete your data directly within the app. We may update this policy for new features or legal requirements. The "Last updated" date will reflect changes.
